International insurance company expands ActiveDocs Opus Viper implementation to produce 15 million documents per year Replaces manual template management, information searches with automated document system

A major international insurance company is expanding its ActiveDocs Opus Viper document automation software implementation to produce up to 15 million customer letters, policy statements and regulatory compliance reports per year, ActiveDocs announced today.

The insurance company is using ActiveDocs Opus Viper to replace document templates maintained at its regional offices across the globe. Consolidating templates in one platform gives all of the company’s offices immediate access to updated document templates and standardizes templates across offices. The templates are incorporated into workflows that guide users through document creation processes and automatically draw the most current information from the insurance company’s systems to create policy documents, eliminating manual data entry and the accompanying opportunities to make mistakes. The ActiveDocs Opus system also sharply reduces the time required to create policy documents by eliminating searches through multiple information systems. The company plans to increase its document production to 25 million annually with ActiveDocs Opus.

Bank of Western Australia (Bankwest) implements ActiveDocs Opus Viper Brisbane December 1, 2011

Demand for ActiveDocs’ document automation and template management solutions has driven blistering revenue growth, attracted marquee customers, and spurred worldwide expansion in 2011, the company announced today.

As of November, ActiveDocs’ revenue is currently running 140 percent higher than it was for the same period in 2010. When the revenue stream is averaged out over the company’s March-to-April fiscal year, ActiveDocs expects to see a 50 to 70 percent increase from the previous fiscal year. That marks a second year of torrid growth for ActiveDocs, which saw its revenues increase 40 percent between fiscal years 2009 and 2010.

Efficiency is always a prerogative in business, but it’s even more important during slow economic times when profit margins are squeezed on every side,” said ActiveDocs CEO Glenn Ricketts. “Demand for ActiveDocs Opus has grown steadily as more and more companies realize what a drain document production is when it’s done manually, and how simple, fast and accurate it is when it’s automated.

The company’s 2011 growth was driven by demand for their document automation and template management solutions in markets ranging from pharmaceuticals, to energy, to manufacturing, to technology, to financial services, to legal affairs and government. Major regional and global companies are among ActiveDocs’ new customers. International energy company Royal Dutch Shell integrated ActiveDocs Opus Viper solution into its employee transfer management system in 2011 so it can automatically generate employment contracts and supporting documents. Global infrastructure and engineering giant ABB is using ActiveDocs Opus Viper to improve efficiency and reduce re-work in production of tender letters and related documents as part of an implementation that will extend to 90 countries when completed. Pharmaceutical company Boehringer Ingelheim chose ActiveDocs Opus to integrate with its contract management system, and plans to expand its implementation to include document template management in 2012.

To support its growth, ActiveDocs is expanding its European, North American and Pacific Rim operations and signing on new implementation partners. It has expanded its North American headquarters in Kansas City, Mo., and is hiring more staff in New Zealand and the U.S. The company has signed on three European partners: Digia in Finland; Zarion in Ireland; and Axicos in Switzerland. Two new Australian partners, i2m in Melbourne and Efficiency Leaders in Brisbane, will help ActiveDocs meet demand in the Pacific Rim countries. The company plans to expand its European presence with a new office in Belgium or Germany in the April/May 2012 time frame. Major Canadian legal services firm cuts document production time with ActiveDocs Opus ActiveDocs solution provides back-end integration that Consolidated Civil Enforcement could not get from previous implementation

One of Canada’s largest civil enforcement agencies has chosen ActiveDocs Opus software to automate production of documents that support legal services ranging from property recovery to contract enforcement in all of the country’s 10 provinces.

Consolidated Civil Enforcement chose the ActiveDocs software because its Web services functionality and back-end interfaces made it easy to integrate with the company’s Microsoft SQL database. Consolidated had been using document automation software, but when the company wanted to automate more aggressively it faced the prospect of an expensive custom integration to develop an interface for this software to link to its back-end data systems. ActiveDocs’ open database connectivity (ODBC) enabled Consolidated to easily integrate document automation with its SQL database to eliminate repetitive work that created opportunities for errors in legal documents. The back-end data integration is critical in the long term as Consolidated implements a new file management system that will house even more of the company’s vital information in the SQL database.

ActiveDocs is part of a new system we’re rolling out for meeting our recovery managers’ needs, to help them process more documents in less time. To achieve that goal, we needed to tie our document production with our data systems,” said Steve Low, Consolidated Civil Enforcement’s chief information officer. “HotDocs would have been expensive to integrate with our database, but ActiveDocs Opus solved this problem for us easily. Also, as we expand, we have found ActiveDocs’ template creation to be faster and simpler than HotDocs. As a result, we have non-developers building templates and saving the company money.

Consolidated’s database houses information needed to produce the thousands of warrants, writs and supporting documents that Consolidated’s recovery managers need in the field. The company’s 40 recovery managers choose a document template from the ActiveDocs Opus’ interface, and the system automatically populates it with the client’s name and contact information, property locations, etc. Much of the information contained in legal documents is repeated from one document to the next. ActiveDocs Opus’ automation reduces the chance of errors by automatically retrieving the information for each new document. Accuracy is critical, Low said, because many of Consolidated’s enforcement services involve seizing property and those cases can result in legal action.

Shell implements integrated Global Human Resources solution with ActiveDocs Opus Viper London October 7, 2011
ActiveDocs Limited announced today that global energy company Shell has implemented ActiveDocs Opus Viper for dual-mode Automated and User-Driven document generation. New Directions Behavioral Health integrated ActiveDocs Opus with its customized OPTAMUM case management system to make producing notification letters part of existing workflows for tasks such as determining patient benefits. Farm Credit Services of America adds flexibility to loan notifications with ActiveDocs Opus document creation solution User-driven template management enables easy document modification

A regional division of the U.S.’s $186 billion farm credit network has streamlined its customer correspondence with ActiveDocs Opus document automation and template management software.

Omaha-based Farm Credit Services of America (FCSAmerica) is part of a nationwide network of lending institutions, chartered in 1917, that provides credit and insurance services to farmers, ranchers, agribusiness and rural residents. FCSAmerica is using ActiveDocs Opus to produce between 200 and 300 loan notification letters daily.

FCSAmerica chose ActiveDocs Opus because it enables business users to update document templates to comply with regulations without help from software developers. The software replaced FCSAmerica’s in-house document production application, which required software developers to make all changes. In the coming months, all 42 FCSAmericas’ offices in Nebraska, Iowa, South Dakota and Wyoming plan to transition to ActiveDocs Opus to produce all loan documentation including applications, certifications, loan agreements and truth-in-lending statements.

The previous system had the necessary functionality, but limited flexibility,” said Russ Wagner, director of application development for FCSAmerica. “We’ve had changes in government compliance regulations that require us to send letters to applicants when loans are approved or declined. The former system was all handwritten code so it took developer resources to make changes. We wanted to be able to define and automate document templates without involving developers.

ActiveDocs Opus is integrated with FCSAmerica’s AgDirect Loan and Lease Origination System through a Web services interface. Opus automatically compiles letters, drawing from the necessary data sources, as FCSAmerica’s staff work in their primary application. They can preview letters in a print queue before outputting a hard copy for the customer.

It’s a very complete solution that fits smoothly into our Microsoft environment,” Wagner said. “From a capability standpoint, the automation and template design functions were the best option for us. ActiveDocs’ Web services integration lined up well with our internal integration strategies, and we’ve received outstanding technical support from them as well.

ActiveDocs today made it easy to create and modify documents on the Microsoft® SharePoint® platform with a new ActiveDocs Opus SharePoint module that enables SharePoint and ActiveDocs Opus software to interoperate seamlessly within the same workflows.

The ActiveDocs Opus SharePoint module gives SharePoint users access to Opus document automation without leaving their SharePoint interface. When a SharePoint user needs to create or finalize a document stored in the SharePoint repository, ActiveDocs Opus recognizes the message coming from SharePoint through an extended web service. ActiveDocs Opus creates the document for the user through a wizard. Once the document is created or modified, the SharePoint workflows are invoked for routing or storage.

Using ActiveDocs Opus to create documents and SharePoint to store and route them for approval provides users with the simplest and most functional option for managing their documents. Having ActiveDocs Opus available throughout approval and revision cycles also retains the complex business logic that ActiveDocs Opus enables users to apply to documents. If Opus were not integrated into SharePoint workflows, users would either lose that business logic or they would need IT to create SharePoint applications to retain it.

A new custom Salesforce.com web service is now available that automatically inserts Salesforce.com data into sales proposals and agreements created with ActiveDocs Opus software. It is the first to take advantage of Opus’ unique Data View architecture, which is designed to make document creation faster, easier and more accurate through automated information gathering.

Data View enables Opus users to create custom web services that take advantage of standard web services provided by other systems, such as Salesforce.com, to pull data and insert it into required documents like contracts, agreements and sales proposals. This also means multiple data sources, both internal and external to the company, can be used for a single document.

The complete document creation scenario can be performed within Salesforce.com. With simple Salesforce.com setup, a user can click a button to create a sales proposal using the ActiveDocs Opus document creation wizard. The document is created, the data is pulled into the document, then it is passed seamlessly back to Salesforce.com. More than simply merging data into a document, the template can contain business logic controlling the required content. Got a customer from California? The correct clause can be included dynamically. Washington State Dept. of Ecology makes water use permitting airtight with ActiveDocs Opus document automation software Kansas City January 11, 2011
The agency responsible for allocating the state of Washington’s water rights is using the ActiveDocs Opus document automation system to reduce permitting errors and bring greater efficiency and consistency to its permitting process, ActiveDocs announced today.

Washington State’s Department of Ecology Water Resources Program is responsible for allocating all of the state’s publicly controlled surface and ground water. The department issues permits to cities, farms, industries and others that define when and how much water can be withdrawn. Employees at the Water Resources Program are implementing ActiveDocs to replace a manual permit creation system that forced users to search through multiple systems for site information then transcribe that data into permits and e-mails. Errors were easy to make and hard to catch with the old system, according to Environmental Planner Jeff Marti of the State’s Water Resources Program.

When you’re keying in combinations of letters and numbers that define locations and other details, mistakes don’t jump out at you,” Marti said. “The ramifications of errors are serious. We have had cases where documents have not clearly described the permit conditions and the permit holder thought they were allocated more water than they actually were. That can end up in court. With ActiveDocs Opus we can now add legal language, site descriptions, permit conditions, etc. without leaving the document creation environment.

Because our permits are issued by region offices located in different areas of the state, it is essential that we have a way to engineer that each office is using the same language and content in the documents we create. The ActiveDocs content manager makes that possible,” Marti said.

ActiveDocs Opus enables the Water Resource Program’s 43 users to import information directly into permit templates and e-mails without having to exit documents. Easy-to-follow wizards lead users through the document creation process, displaying query windows for bringing in information without requiring the user to search for it manually.

On September 22 2009 a United States Federal Appeals Court upheld a finding that Microsoft Word's “Custom XML” feature infringed a Canadian software company’s patent. Microsoft was required to remove the Custom XML feature from new copies of Word sold in the US from January 11 2010, and to pay significant damages.

ActiveDocs has always based its Document Automation solutions on Microsoft Word, from the original Desktop product, through the groundbreaking Enterprise server-based application, to the latest generation server-based ActiveDocs Opus. ActiveDocs Opus uses Microsoft Word for Template Design because Word has superior document formatting and styling capabilities and ActiveDocs sees no good reason for forcing business users to learn to use other markup applications for designing templates. ActiveDocs Opus creates Word documents on the server and uses Word for sophisticated and high-performance format conversion and delivery.
